Staff Transfers

Our process for transferring staff is as follows:

Notification and Project Creation

When a new staff-member transfers departments, changes positions, or moves to a new location, IT staff receive a notice from Employee Services. Upon receiving that information, IT will: - Enter information into our transfers database - Also enter information into our "new staff" database for their new department, if neccesary - Create an onboarding project in our task management system - Create an onboarding ticket with their supervisor, admin assistant, and other necessary office staff. This ticket will list the scope of the project.

Account Changes

Following project creation, IT will create and/or update the following accounts and services: - Google G-suite (email, calendar, contacts, drive, etc.). We will create an alias for their old address so all emails sent there will still be delivered. This will not be a new account, simply a new address on their current account. - Google Groups (email lists). We will add them to the proper email groups and remove them from those no longer applicable. - We will update the transfer ticket with all account information.

Device Setup

Following project creation, IT will also order or assign devices according to position. Examples: - iPhone (please note, generally staff take their mobile phones with them and we simply change the area code if needed. Do not turn your phone over if you are transferring) - Windows Desktop - Apple Laptop (if you are transferring within the same school, you will generally keep your laptop. If you are transferring from RP to MRA you will need to return your laptop). - Desk Phone (we will update extensions and corporate directory if needed) - We will update the transfer ticket to reflect all this.

Delivery & Directories

When device assignments and setups are complete, IT will: - Deliver any new devices directly, or hold for pickup - Update our Google Sheets directories - Update our Global Address List with new information

Completion

Upon completion of the scope of the transfer project, IT will notify supervisors and/or their assistants and mark the ticket as solved. We will archive our task management project and retain all data for future use.
